Most dental practices with a website have a Contact Us form that their web guy has put on their site.  When filled in, reception get an email.  Some of the emails are of an urgent/patient nature, and some are just general enquiries.

If you have checkboxes on your form, reception has to figure out what the person wants and respond accordingly.

The problem is that reception is busy and many of the enquiries require detailed responses about treatment options.  They take time to reply to as the same email message gets typed out many times.

But the real problem is…it doesn’t happen.  Many enquiries go unanswered.  This is potential business that is going missing.

So here is the deal!

We will create a webform to go onto your website and liase with your web guy to get it placed.

The webform will capture contact details and have up to 4 checkboxes for patients to tick if they interested in a particular treatment.  For example, whitening, implants, invisible braces, routine care, cosmetic dentistry etc.  We recommend 4, as many more will clutter the form and reduce convertion.

We will set up a series of 3 emails to go to the person enquiring for each of the checkbox treatments.  After the 3 emails have been sent, you (or reception) will be emailed with a reminder to contact the person.

As soon as the form is filled in, you will get an email with all the details.  That way, you or your receptionists can call or email the person directly, or choose to wait for the reminder.

In each of the emails that goes to the enquirer are links that go back to your website.  If patients click on these links, you will get an email to notify you… they are interested!!!

On submitting the enquiry form, the person will also start to receive a practice-branded email newsletter every month.  Each newsletter has links back to your website, helping new and returning patients to discover more about specific treatment options.

If you provide me with a list of current patient emails, we will put them onto the list of who receives the monthly newsletter.

PLUS:  You get a CQC Compliant Exit Survey!

We will provide your reception with a form where they can enter the name and email of patients as they leave the practice.  The patients will receive an email containing a survey.  This will make you compliant with CQC Outcome 16.  But that is not the really interesting part…

The survey will also collect  information for you about what treatments and services your patients are interested in.  It will ask for and collect testimonials.  It will even stimulate referrals.
